Venue Checklist

Each venue has it’s own set of expectations so we’ve come up with some talking points to make sure that everyone is on the same page. Please fill out the form below with as much information as possible. Thank you so much!

Please list all pertinent information in regards to receiving shipments leading up to the event.

What is the comfortable max capacity?

With the addition of the Tunnel of Love area and about 75 vendors, how many guests do you think can comfortably attend?

How many mobile vendors are you able to accommodate?

Please list what the venue will provide in terms of event rentals (tables, chairs, linens, etc). Include table size and quantity, chair color, type and quantity and any additional items included.

(staging, lighting, linens, etc.)

Who will be responsible for the set up and tear down of any tables, chairs, etc?

Would the venue allow an outside rental company to drop-off / pick-up the day before and/or the day after the event?

Will the venue allow decor to be hung from ceiling?

Will the venue allow candles to be used and lit in design?

Will the venue provide a ladder for hanging decor?

Are we required to use your preferred caterer and/or bar?

Please list any prohibited materials below:

Venue is responsible for presenting a clean venue (swept, trash taken out, clean restroom condition etc) prior to the event and for any necessary cleaning afterward. Vendors will be responsible for taking out all of their own product and trash.

Will the venue provide and coordinate any necessary security required by the venue? (None is required by The Big Fake Wedding).

Please provide a marketing team contact (if different from above)

Please describe the parking situation so we can be sure to communicate parking clearly to our guests. Include any pricing and/or directions that would be helpful.

Is outdoor parking available for mobile vendors such as food trucks, photo buses, etc.?

The Big Fake Wedding carries insurance that covers the event. We do not require our vendors to carry their own insurance. Do you have any requirements beyond this in terms of insurance?

Please provide your alcohol policy and if there are any state laws we should know about.

Will the venue allow vendors access to loading dock?

Please list any special instructions regarding the loading dock below, along with the dimensions. Be sure to include the times the loading dock will open and close.

Can airstreams/carts/mobile trailers fit inside the venue?

Do you require a deposit? If so, what are the terms?

Please describe your policy regarding AV. Be sure to include the following: do you require The Big Fake Wedding to use in-house AV? If so, can we bring in our own DJ as long as they are supervised by your in-house person? If not, is there a charge for your AV team?

Do you have WIFI? If so, will you allow free access to our staff and vendors?
